The lawful basis under which we store and manage your personal data is considered to be ‘Legitimate Interest’ i.e. the collection and processing of your Personal Data is necessary to progress your claim and we cannot process your claim without this information.

Personal data collected about you and your dependants may include:-

  • Your name, home address, location of property insured, email address, telephone number, gender, marital status, family status, date and place of birth, employment history, relationship to the Policyholder or Claimant and date and cause of any injury.
  • Policy details and claim number, peril and date of claim.
  • Internal and external photographs of the risk premises and Google Earth images.
  • Financial information including the name of your bank, sort code, account number, and the name of the account.
  • In certain cases we may receive information about your current or former physical or mental medical condition, health status, injury or disability information, medical procedures performed (including location), personal habits (eg smoking or consumption of alcohol/drugs), prescription information or medical history.
  • In certain cases we may receive sensitive information about your criminal record, information pertaining to CCJs or civil litigation history.
  • We may receive information relating to previous claims, regardless of whether they have been disclosed.
  • Travel arrangements including reservation numbers, destination, flight and hotel details.
  • Prior business history including Director or Partner status, or other ownership or management interest in an organisation and any other insurances held.

We use this personal data to:-

  • Communicate with you and other interested parties to manage your claim.
  • Send/request important information regarding your claim.
  • Make decisions about your claim to include processing and settlement.
  • To make payments.
  • Where applicable to manage disputes or complaints.
  • Prevent, detect and investigate crime including fraud and money laundering.
  • Carry out market research by sending out Customer Satisfaction Surveys.
  • Send/request important information regarding your claim.

Adjusting Associates LLP may make Personal Data available to the following parties for the purposes of claim assessment or as required by law:-

  • All Adjusting Associates LLP employees.
  • HM Treasury to ensure compliance with UK sanctions requirements
  • Third Parties such as brokers, appointed representatives and financial institutions.
  • External Third Parties such as accountants, auditors, approved suppliers, medical experts, Third Party claim administrators, claim investigators, contractors and engineers.
  • IT providers, data management providers and other outsourced service providers.
  • Banks who service our accounts.
  • In certain cases we may have to divulge sensitive information to Emergency Service providers, solicitors, barristers or Officers of the Court.

If you provide information to us regarding other individuals, you agree to:-

  • Obtain any legally required consent for the collection, use, disclosure and transfer of Personal Data about the individual, in accordance with this Privacy Policy.

We will take all appropriate, reasonable, technical, legal and organisational measures, which are consistent with applicable privacy and data security laws, to safeguard the security and accuracy of your Personal Data. Unfortunately, no data transmission over the internet or data storage system can be guaranteed to be 100% secure. If you have reason to believe that your interaction with us is no longer secure, or if you feel that your Personal Data has been compromised, please notify us immediately.

We will retain Personal Data for the period necessary to fulfil the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law.
